Privacy Policy
How Geeky Bot handles website, account, licensing, support, plugin, conversation, store, and AI-provider information.
1. Scope and data controller
This Privacy Policy explains how the Geeky Bot website, customer accounts, purchases, licensing services, update services, support channels, and WordPress plugin features may process personal information.
For information collected directly through GeekyBot.com, the data controller is WiselyHub LLC, located at 412 N Main St, Suite 100 Buffalo, Wyoming 82834, USA.
Privacy questions and requests may be sent to [email protected] or through the Geeky Bot contact page.
When a merchant installs Geeky Bot on a WooCommerce store, that merchant normally controls the shopper and customer information processed through its website.
The merchant is responsible for selecting lawful settings, providing an appropriate store privacy notice, obtaining consent where required, and responding to customer privacy requests relating to information stored on the merchant’s website.
2. Information collected through GeekyBot.com
Depending on the services used, we may receive:
- Name and contact information
- Customer-account information
- Purchase, invoice, and billing records
- Subscription and renewal information
- License identifiers and activation records
- Activated website URLs and domains
- Download and update eligibility information
- Support requests and related communications
- Security, fraud-prevention, and technical logs
- Browser, device, IP, locale, and request information
Information may be provided directly through account, checkout, contact, support, or license forms, or generated as part of using the website and its services.
Do not send passwords, complete API keys, private signing keys, full payment-card details, or unnecessary customer records through contact or support forms.
3. Plugin and store data
Geeky Bot is designed to process approved WooCommerce product information and merchant-selected WordPress pages on the merchant’s own WordPress website.
This may include:
- Product titles and descriptions
- Regular and sale prices
- Stock and availability information
- Product categories and tags
- Product attributes and variations
- Product images and links
- Merchant-selected policy and information pages
Installing Geeky Bot does not by itself send the merchant’s complete product catalog, conversation database, cart data, customer accounts, or order database to GeekyBot.com.
Information may leave the merchant’s website only when required for a service the merchant has configured or requested, such as:
- An AI-provider request
- License activation or verification
- An update-eligibility check
- A protected plugin download
- A support request
- Another clearly enabled integration
Commerce Pro may process cart, customer-account, and order information on the merchant’s website when the relevant feature is enabled.
Order and account information must be restricted to the currently authenticated or properly verified customer. A customer must not receive another customer’s order or account information.
4. AI providers
The merchant chooses whether to connect Zywrap or another supported AI provider.
When an AI-powered answer is requested, the shopper’s message and the minimum product, policy, or conversation context needed to generate the answer may be transmitted to the configured provider.
Geeky Bot does not require the merchant to send its complete WooCommerce database to an AI provider. The information transmitted depends on:
- The enabled answer mode
- The shopper’s request
- The required product or policy context
- The merchant’s configuration
The configured provider may process information under its own privacy, security, retention, and usage terms.
Merchants should review those terms, disclose relevant provider processing in their store privacy notice, and avoid sending unnecessary sensitive information.
5. Conversation history and analytics
Depending on the merchant’s settings, Geeky Bot may store information such as:
- Shopper messages
- Assistant responses
- Conversation timestamps
- Conversation and session identifiers
- Products opened from chat
- Approved policy sources opened from chat
- Unanswered or incomplete questions
- Response and intent classifications
- Cart and checkout actions in Commerce Pro
- Related store-assistant analytics
Guest conversation storage can be disabled. When disabled, the assistant can continue operating without creating new stored guest conversation, message, unanswered-question, or interaction-event records.
For supported logged-in customer data, Geeky Bot integrates with WordPress personal-data export and erasure workflows.
Merchants may also delete individual conversations, apply retention cleanup, or remove stored Geeky Bot conversation data using the available administrative controls.
Geeky Bot is not intended to store passwords, payment-card information, API keys, private license secrets, or unnecessary sensitive personal information in conversation records.
6. Licensing, updates, and security
Commerce Pro license activation, verification, deactivation, update checks, and protected downloads may transmit information needed to validate the current installation and license entitlement.
This information may include:
- License identifier
- Licensed product and plan
- Site URL and home URL
- Domain name
- Installation identifier
- Site hash or fingerprint
- Production, staging, or development status
- WordPress version
- PHP version
- Geeky Bot Core version
- Commerce Pro version
- Website locale
- Request identifier and request timestamp
- Current license and technical status
The licensing service may retain activation records, license status, permitted site counts, activation dates, last-check information, expiration information, and WooCommerce purchase or subscription references where a license was created from a purchase.
Site and installation information may be used to prevent a Commerce Pro installation licensed for one website from being treated as authorized on another website.
License and provider secrets are intended to remain server-side. They should not be included in frontend JavaScript, public logs, public screenshots, or shopper-facing error messages.
Reasonable technical and organizational measures are used to protect information. However, no website, plugin, transmission method, or storage system can be guaranteed to be completely secure.
7. How information is used
Information may be used to:
- Create and manage customer accounts.
- Process purchases, subscriptions, renewals, and refunds.
- Provide plugin downloads, licenses, updates, and support.
- Operate requested Geeky Bot and Commerce Pro features.
- Process requested AI interactions.
- Validate licenses and authorized websites.
- Prevent abuse, fraud, unauthorized copying, and security incidents.
- Investigate technical failures and support requests.
- Improve documentation, onboarding, compatibility, performance, accessibility, and product reliability.
- Send service, security, billing, license, and update communications.
- Send marketing communications where permitted and where the required consent or legal basis exists.
- Comply with applicable contractual and legal obligations.
8. Legal bases for processing
Where applicable data-protection law requires a legal basis, information may be processed:
- To perform a contract, including accounts, purchases, subscriptions, downloads, licenses, updates, and support.
- To comply with legal obligations, including accounting, tax, fraud-prevention, and lawful disclosure requirements.
- For legitimate interests, such as securing the website, preventing license abuse, maintaining service reliability, responding to support requests, and improving compatibility, provided those interests are not overridden by individual rights.
- With consent, where consent is required for activities such as certain marketing communications, optional analytics, cookies, or provider processing.
Where processing relies on consent, consent may be withdrawn for future processing, subject to information that must still be retained for contractual, security, accounting, or legal reasons.
9. Sharing and service providers
Information may be shared with service providers that support the operation of GeekyBot.com and Geeky Bot services, including:
- Website and infrastructure hosting
- Content-delivery and storage services
- Payment and subscription processing
- Email delivery
- Customer support
- Website analytics
- Licensing and protected downloads
- Security and fraud prevention
- AI processing selected by the merchant
- Professional accounting or legal services
These providers may process information only as needed to provide their services, comply with applicable law, and protect their systems.
We do not sell personal information to advertisers.
Information may also be disclosed when required by law, legal process, court order, regulatory request, or when reasonably necessary to protect users, customers, services, rights, property, or security.
If the business, website, or product is reorganized, merged, acquired, or transferred, relevant information may be transferred as part of that transaction, subject to applicable privacy requirements.
10. International data transfers
Hosting, email, payment, security, analytics, licensing, support, or AI providers may process information in countries different from the person’s country of residence.
Where required, international transfers will rely on an applicable adequacy decision, contractual safeguards, or another lawful transfer mechanism.
Merchants are responsible for reviewing the transfer arrangements of any AI provider or optional integration they configure for their WooCommerce store.
11. Retention
Information is retained only for as long as needed for the purpose for which it was collected, including contractual, licensing, accounting, security, support, dispute-resolution, and legal requirements.
Different categories of information may use different retention periods.
Account, purchase, invoice, subscription, and license information may be retained for the duration of the customer relationship and for any additional period required by tax, accounting, fraud-prevention, or legal obligations.
Support records and security logs may be retained for shorter operational periods unless they are required for an active support matter, dispute, abuse investigation, or security incident.
Plugin conversations stored on a merchant’s website are controlled by that merchant’s Geeky Bot retention settings and hosting environment. GeekyBot.com does not control the merchant’s local conversation-retention period.
Retention periods are reviewed periodically. Information is deleted, anonymized, aggregated, or securely restricted when it is no longer required.
12. Choices and privacy rights
Depending on the person’s location and applicable law, they may have rights to:
- Request access to personal information
- Request correction of inaccurate information
- Request deletion of personal information
- Request restriction of certain processing
- Object to certain processing
- Request portability of eligible information
- Withdraw consent where processing relies on consent
- Object to direct marketing
- Lodge a complaint with the responsible data-protection or supervisory authority
Requests should include enough information to identify the relevant account, purchase, license, support interaction, or website activity.
Do not include passwords, API keys, complete payment-card details, private signing keys, or other unnecessary secrets in a privacy request.
We may need to verify the identity or authority of the person submitting a request before providing, correcting, exporting, or deleting information.
For conversations or customer information stored only on a merchant’s WooCommerce website, the request should normally be submitted to that merchant because GeekyBot.com may not possess or control the local information.
Some information may be retained where necessary to complete a contract, maintain security, prevent fraud, comply with law, establish legal claims, or maintain an unsubscribe or suppression record.
13. Children
Geeky Bot services are primarily intended for business users and general online-store experiences.
GeekyBot.com is not intended to knowingly collect personal information from children in violation of applicable law.
Merchants are responsible for age restrictions, parental-consent requirements, product restrictions, and other child-related obligations that apply to their stores, products, locations, and customers.
If personal information relating to a child is believed to have been submitted unlawfully to GeekyBot.com, contact us so the matter can be reviewed.
14. Changes and contact
This Privacy Policy may be updated as Geeky Bot, Commerce Pro, AI providers, licensing services, legal requirements, or business operations change.
The effective date at the top of the page will be revised when an updated policy is published.
Where appropriate, material changes may also be communicated through the website, customer account, email, plugin administration area, or another reasonable channel.
